Terms and Conditions

The terms for using the Avelbid website, demo and evaluation workspace.

Important for paying customers

A signed order form and data-processing agreement are required before confidential client material is uploaded. These website pages do not replace that agreement or independent legal advice.

1. About Avelbid and these terms

Avelbid is tender-preparation software operated by Simao Global Limited, a company registered in England and Wales under company number 16740637. Its registered office is 71-75 Shelton Street, Covent Garden, London, WC2H 9JQ. These terms cover the website, fictional demo and evaluation workspace. A paid service requires a separate written order form setting out the agreed scope, charges, support and data terms.

2. Website, demo and evaluation access

The current service is an early-stage pilot intended for bid-writing agencies and business users. Access is subject to the site’s access settings and your workspace permissions. Viewing the website or sending an enquiry does not buy a subscription, book a meeting or authorise a charge. You must have your organisation’s authority to create or manage a workspace on its behalf.

3. Accounts and permitted use

Use your own authorised sign-in and keep your access secure. Agency owners are responsible for inviting appropriate team members and removing access when it is no longer needed. Do not impersonate another user, bypass access controls or usage limits, interfere with the service, upload malicious files or attempt to obtain another agency’s information. Report suspected misuse through the contact page without sending passwords or secret keys.

4. Your documents and client permissions

Only provide documents, statements and personal information that you have permission and a lawful basis to use. Check any client confidentiality obligations before uploading. You retain any rights you hold in your original documents and content; uploading does not transfer ownership to Avelbid. Operation of the service requires that content to be stored, processed and displayed to authorised workspace users and relevant service providers. Everyone in an agency can view its clients, even though evidence matching is restricted to the bid’s client. Do not upload payment-card information, sensitive personal data or confidential client material until appropriate security and data-processing arrangements are agreed.

5. AI assistance and your bid responsibilities

AI drafts and extracted requirements can contain errors, omissions or unsupported claims. Check the full original tender, every source, word limit, deadline and buyer instruction. A human must review and approve each final answer. An approval indicator records a workflow decision; it is not independent verification or a compliance certificate. Avelbid does not submit tenders for you or guarantee eligibility, acceptance, contract awards or financial results. Follow the buyer’s rules on AI use and disclosure.

6. Fictional examples and downloaded files

The homepage preview and walkthrough use fictional client information and prewritten example responses. They are not live AI activity or real customer results. Walkthrough edits reset when the page is refreshed. Demo downloads are examples for review and must not be presented as genuine company evidence. Check and retain your own copies of real exported work before submitting it through the buyer’s portal.

7. Pricing, payments and third-party charges

Displayed pilot and agency prices are offers for discussion. There is no active checkout or automatic subscription on this website. Before paid work begins, both parties must agree the scope, total charges, applicable tax, payment dates, usage allowance and support in writing. Claude API usage has separate provider costs, including connection tests; a Claude chat subscription does not fund these calls. Responsibility for those costs must be agreed before AI processing is enabled. Nothing on this page authorises a charge or automatic renewal.

8. Cancellation, refunds and leaving

A paid pilot or subscription needs a separate written agreement setting out its duration, renewal, notice, cancellation and refund arrangements before you commit. No blanket non-refundable policy is imposed here. You may stop evaluating the demo at any time. For workspace closure or deletion requests, contact the operator; archiving an item is not permanent deletion. Arrange any required export before closing access. Applicable statutory rights are not removed by these terms.

9. Privacy and service providers

Read the Privacy notice and Security and data page for the current storage, access, retention and provider arrangements. AI drafting sends the question and selected verified evidence to Anthropic when processing is enabled and a user requests a draft. A connection test sends a fixed test message instead. These website terms do not replace a required data-processing agreement, client authorisation or lawful basis for processing. No UK-only data residency or independent security certification is promised.

10. Availability, support and access restrictions

The pilot may change or be temporarily unavailable. No uptime, response-time or recovery commitment is included unless separately agreed in writing. Keep your own copies of important outputs. Access may be restricted where reasonably necessary to address a security incident, unlawful activity or misuse. Where practicable, the operator should explain the restriction and provide a way to raise a concern. Paid-service support, closure and data-return arrangements must be agreed before commercial use.

11. Brand, software and third-party rights

Using Avelbid does not give you ownership of its branding, website or software. Third-party materials remain subject to their owners’ rights and applicable licences. You may use the supplied demo downloads to evaluate the workflow, but not pass off fictional examples as your own credentials or claim an endorsement by Avelbid. Ownership and permitted use of commissioned outputs should be addressed in the relevant paid-service agreement.

12. Liability and your legal rights

The pilot’s limitations do not remove rights or responsibilities that the law does not allow a party to exclude. Nothing here excludes or limits liability for fraud, fraudulent misrepresentation, death or personal injury caused by negligence, or any other liability that cannot lawfully be excluded or limited. No financial liability cap is agreed on this page. Any commercial allocation of risk needs a separate, legally reviewed agreement. If consumer protections apply to your circumstances, they are not waived by calling the service a business pilot.

13. Changes, governing law and questions

We may update these website terms and will show the latest revision date on this page. An update does not rewrite an existing signed agreement; the change process in that agreement applies. These website terms are governed by the laws of England and Wales, and the courts of England and Wales have jurisdiction, subject to any mandatory rights that apply. Contact Avelbid with questions before relying on the service for a live tender.
